Administrative Assistant Main Responsibilities:

Provide support to senior managers and staff. Organize company information and develop automated processes. Schedule appointments for personnel and contracted workers and communicate requirements. Manage a variety of administrative, e-mail, and clerical tasks and provide support for daily office needs. Perform light bookkeeping and report preparation. Maintain customer records on the company website.

Job Details:

As our Administrative Assistant, your primary responsibilities will include:

  • Providing comprehensive administrative support to our training and support team, including managing calendars, scheduling meetings, and organizing training sessions.
  • Coordinating training and exams, including tracking the requirements students must meet in their training path.
  • Developing, implementing, and maintaining efficient office systems and procedures to support the team.
  • Assisting in the preparation of documents and reports required per various contracts.
  • Serving as a key point of contact for internal and external stakeholders, demonstrating excellent communication skills to facilitate effective and efficient interactions.
  • Managing educational project administration, including tracking project progress, maintaining project files, and coordinating project-related correspondence.
  • Participating in project meetings, taking minutes, and ensuring follow-up on action items.
  • Maintaining a high level of organization and attention to detail in all aspects of your work, ensuring accuracy and timeliness in all tasks.
  • Provide support to senior managers and staff.

This is expected to be a part-time position but could expand into full-time employment.

Qualifications:

The Ideal Candidate will have:

  • Previous experience in a position requiring attention to detail, ability to multitask, organizational and problem solving skills. Academic experience will be considered, even if the candidate does not have a directly relevant degree.
  • Proficiency in Microsoft Office Suite, particularly MS Office Word and Excel and/or Google Docs.
  • Self starter and motivated to learn and grow
  • Exceptional organizational skills, with a proven ability to manage multiple tasks, set priorities, and meet deadlines in a fast-paced environment.
  • Excellent time management skills and the ability to prioritize important tasks.
  • Excellent communication skills, with the ability to effectively interact with all levels of an organization.
  • A detail-oriented mindset, with a keen eye for accuracy in all tasks.
  • Strong problem-solving skills, with a proactive approach to identifying and resolving issues.
  • A high level of discretion and confidentiality, with the ability to handle sensitive information with integrity.
